BOOKING TERMS
1. Introduction
These Booking Terms govern individual bookings arranged by Alight Travel Ltd ("Alight Travel", "we", "us", "our") on behalf of clients. They sit alongside our general Terms and Conditions, which govern the broader commercial relationship between Alight Travel and the client. In the event of any conflict between these Booking Terms and our Terms and Conditions, the provisions specifically addressing bookings shall prevail in respect of that booking.
By confirming a booking, whether in writing, by email, by message, or by payment of a deposit or invoice, the client accepts these Booking Terms and the applicable terms of any third-party operator engaged in delivering the service.
2. Role of Alight Travel
Alight Travel acts as a private travel manager and broker. We arrange services on the client's behalf with carefully selected third-party operators, including aircraft operators, chauffeur companies, hotels, venues, security providers, and other suppliers.
Where Alight Travel arranges a service delivered by a third-party operator, the underlying contract for that service is between the client and the operator. Alight Travel acts as agent for the operator and as the client's advocate in arranging and managing the booking. Alight Travel does not own, operate, or directly control aircraft, vehicles, or venues. Alight Travel's responsibility in such cases is to arrange the booking with reasonable skill and care.
Where a service is delivered directly by Alight Travel, for example, certain concierge or coordination services, that service is provided under our Terms and Conditions and not as agent for a third party.
3. Quotations and Confirmation
Quotations are provided in good faith based on the information available at the time and remain subject to operator availability, route or venue access, and applicable taxes and fees. A quotation does not constitute a confirmed booking.
A booking is confirmed only when:
- The client provides written confirmation of acceptance; and
- Any required deposit or full payment is received in cleared funds; and
- Alight Travel issues a written booking confirmation.
Until all three conditions are met, services remain provisional and Alight Travel cannot guarantee availability or pricing.
4. Payment
Payment is typically made by bank transfer, CHAPS or Faster Payments, to the account specified on the invoice. Where card payment is offered, it may be accepted via a regulated third-party payment processor; details of the processor in use will be confirmed at the time of invoice. Card data is processed by the third-party provider and is not stored by Alight Travel.
Unless agreed otherwise in writing, the following payment terms apply:
- For aviation bookings, full payment is required in cleared funds prior to flight. Deposits may be requested on confirmation, with the balance due no later than seventy-two hours before departure.
- For chauffeur, security, and ground service bookings, payment terms will be set out on the relevant invoice and are typically due in cleared funds before the service date.
- For hotel, venue, and event bookings, payment terms follow the underlying operator's requirements and will be confirmed in writing at the point of booking.
- For ongoing client relationships, agreed credit terms may apply on a case-by-case basis.
Alight Travel reserves the right to withhold or cancel a service where payment has not been received in full and in cleared funds by the agreed deadline.
5. Changes by the Client
Requests to change a confirmed booking will be accommodated where reasonably possible. The client acknowledges that:
- Changes are subject to operator availability and may not be possible at short notice.
- Changes may attract additional charges, including operator change fees, repositioning costs, and any difference in fare, rate, or service price.
- Where a change cannot be accommodated, the original booking remains in force on its original terms.
6. Cancellation by the Client
Cancellation charges are determined by the underlying operator's terms for the relevant booking. These will be set out in writing at the point of booking. Typical cancellation structures include:
- Aviation: cancellation charges generally rise sharply within seventy-two hours of departure and may equate to the full charter price closer to the flight.
- Chauffeur and ground services: cancellation charges typically apply within forty-eight hours of the booked time, with the full fee payable for very short-notice cancellation.
- Hotels, venues, and events: cancellation charges follow the operator's published policy and may be partial or total depending on notice given.
In addition to operator cancellation charges, Alight Travel may apply a management or administration fee to reflect time and resources invested in arranging the booking. Any such fee will be communicated in writing at the point of booking or cancellation.
7. Cancellation or Change by Operators
Operators may, in limited circumstances, cancel or amend a booking, for example due to weather, technical issues, regulatory restrictions, force majeure, or operational reasons. Where this occurs, Alight Travel will:
- Communicate the change to the client at the earliest opportunity.
- Identify suitable alternative arrangements where possible.
- Pursue any refund or compensation due from the operator on the client's behalf.
Alight Travel does not accept liability for losses, costs, or consequential damages arising from operator-driven cancellations or changes that are outside Alight Travel's control.
8. Force Majeure
Neither Alight Travel nor the relevant operator will be liable for failure to perform a booking where performance is prevented or materially affected by events outside reasonable control. Such events include, without limitation, severe weather, natural disasters, acts of war or terrorism, civil unrest, government action, regulatory closure of airspace or borders, strikes, pandemics, and any other event of force majeure.
9. Travel Documentation and Compliance
It is the client's responsibility to ensure that they and any guests hold valid passports, visas, health certifications, and any other documentation required for the journey. Alight Travel can advise on requirements where reasonably possible but does not accept responsibility for losses arising from missing or invalid documentation.
Clients must comply with all applicable customs, immigration, aviation, and security regulations at every point of the journey.
10. Conduct
Operators reserve the right to refuse boarding, transport, or service where a client or guest is, in the reasonable opinion of the operator, intoxicated, abusive, or otherwise unfit to travel or be served. Where service is refused on these grounds, no refund will be due from Alight Travel and additional costs, such as repositioning, re-routing, or third-party damages, may be charged to the client.
11. Insurance
Clients are strongly advised to hold comprehensive private travel insurance covering cancellation, curtailment, medical treatment, repatriation, and personal effects. Alight Travel does not provide travel insurance and does not act as an insurance intermediary.
12. Liability
Where Alight Travel is delivering a service directly, our liability is governed by our Terms and Conditions. Where Alight Travel has arranged a service to be delivered by a third-party operator, the operator's own terms govern liability for that service, and Alight Travel's liability is limited to the exercise of reasonable skill and care in arranging the booking.
Nothing in these Booking Terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded under applicable law.
13. Data and Confidentiality
Personal data provided in connection with a booking is processed in accordance with our Privacy and Cookies Policy. Discretion is fundamental to our service: client and guest information is shared only with the operators and personnel directly involved in delivering the booking, and only to the extent necessary.
14. Governing Law
These Booking Terms are governed by the laws of England and Wales. Any dispute arising in connection with a booking shall be subject to the exclusive jurisdiction of the courts of England and Wales, save where applicable consumer law provides otherwise.
